Online donations connect through Stripe, gifts you collect on Givebutter or Zeffy flow in through the cards below, email connects through MailerLite, Mailchimp or Brevo, and an API key lets your CRM or another system read and add records. Your organization

Team, board, staff, committee: what is the difference?

Team is everyone here who can sign in and open apps. It is the widest group, and Team chat reaches all of them.
Board is the directors on your board roster in Board Management. Board records and the board channel stay limited to them.
Staff is the employees in your HR directory. Contractors are left out unless you include them.
Committee is the people you add to one specific committee below. Someone can sit on several, and a committee member does not need a login.
Consultant is somebody from outside who serves you, such as an accountant or a grant writer. They appear in Team because they can sign in, but they are not staff and not on your board. They see only what you allow in Member access, and they can never delete your records.
Specialist is a narrow outside expert brought in for one job, such as a bookkeeper, a grant writer, or a 990 preparer. A Specialist is the mirror image of a Consultant: they can edit the tools you name, and everything else is invisible to them.

A person can be in more than one of these at once. Adding someone to your board roster does not give them app access, and giving someone app access does not put them on the board.

Member access

Choose which tools each member can open, so donor data, finances, and board records are seen only by the right people. You (the owner) always have full access. Changes take effect the next time the member opens an app.

How do I let my accountant work on the finances and nothing else?

Two ways, and the one you pick decides what they can see, not just what they can change. Both take about a minute.

Consultant: an advisor who sees the whole picture

Invite them by email above, if they are not in your list yet.
Find their row in the table below and set Access to Consultant.
A panel opens headed "Let this consultant edit, on your behalf." Tick Financial Management and leave everything else clear.
Press Save in that panel.

They can now read everything your settings allow and change only Financial Management. Choose this when you want their judgment on the whole organization, which is usually what you want from an accountant who advises you.

Specialist: one job, and blinkers on

Invite them by email, the same way.
Set Access to Specialist. The role saves straight away and a panel opens headed "Choose the tools this specialist works in."
Tick Financial Management.
Press Save in that panel. Until you do, they hold the seat but can open nothing.

They can now read and change Financial Management, and every other tool is invisible to them, not merely locked. Choose this for a bookkeeper, a 990 preparer, or anyone hired for a single task.

True either way

Case Management can never be handed to a Consultant or a Specialist, by anyone, under any setting.
Neither can delete your records.
Every change they save is written to your activity log with their name on it, and you can read it whenever you like.
You can change or withdraw access in one click. It takes effect the next time they load a page.
Your plan includes one Consultant seat. AIONP Essentials includes up to two Specialist seats; AIONP Complete has no limit.

Member	Access

Who does what

Record who holds each position, so the platform can send a notice to the right person instead of everything landing on the owner. This is not the same as Member access above: access decides what somebody may open, this decides what somebody is responsible for. A position holder does not need a login, and one person can hold several positions.

Nobody has to be added anywhere first. The person list offers everyone this organization already knows: your board roster from Board Management, your Contact Manager, and the members with a sign-in. If the person you want is not on it, choose Someone else, type it in and fill in the name and email yourself. That is all a position needs, and holding one never requires a login.
A role address works too: put treasurer@yourorg.org in the Treasurer position and every money notice reaches whoever holds that office, this year and next, without anybody signing in.

What happens when

Follow what the platform does the moment something arrives, and who hears about it. The blue steps are what the other person sees. The green step is the email that comes to you, and that is the one you can change. Everything else happens automatically and is shown so the picture is complete.

Committees & contacts

Define your committees once here, then any app can email a whole committee in one click (for example the gift handoff in Donor Management). A person can be on more than one committee, and members can be anyone with an email, they do not need an All In One Nonprofit login.

Invite members

Enter a teammate's email and we'll send them an invite with the link and join code built in, they just open it and sign in. (Colleagues on your organization's own email domain join automatically and don't need an invite.)

Take everything with you at any time. The complete export gives you one zip with your records as CSV spreadsheets (open in Excel or Google Sheets) plus the actual files from your Document Library, so you can keep running on your own.

Change primary admin

Move the primary admin of this organization to a different email address, for example from a personal email to your organization's own address. Your billing does not change, and you stay on the organization as an admin. We email a 6-digit code to the new address to confirm.
